SMART’s palm oil plantations cover more than 138,000 hectares (including smallholder farmers). Our primary activities are cultivating and harvesting oil palms, processing fresh fruit bunches (FFBs) into crude palm oil (CPO) and palm kernel, and refining CPO into value-added products such as cooking oil, margarine, and shortening. We operate 16 mills, four kernel crushing plants and four refineries across Indonesia.
Besides bulk and industrial oil, SMART’s refined products are also marketed under several brands such as Filma and Kunci Mas. Today, these brands have been recognised for their high quality and command significant market share in their respective segment in Indonesia.

Job Description Summary :
Coordinating, executing, and ensuring the General Affairs functions, including CSR activities, Legal, General Service, and general facilities in the Company, run smoothly in the Refinery Unit to support the operational activities of the refinery.
Job Description :
- Supporting all operational office activities by conducting the procurement process for all necessary work equipment (such as stationery, computers, desks/chairs, air conditioning, etc.) as well as other supporting facilities or amenities (such as operational vehicles, office boys, telephone operators, etc.) quickly, accurately/with quality, and in accordance with the specified budget.
- Analyzing budget needs for the procurement and maintenance of all facilities and supporting tools for office activities, and then submitting them to the company's finance and management departments for budgeting and approval.
- Performing maintenance activities on all supporting facilities and tools, as well as replacing damaged facilities/tools.
- Building relationships with vendors or suppliers of goods and services for office facilities/infrastructure and assisting in handling complaints about vendors/suppliers, including follow-up on payment notes/invoices and work contracts with relevant parties.
- Creating, implementing, and developing work systems/procedures for the procurement and maintenance of work-supporting facilities.
- Conducting satisfaction surveys on the services provided to all employees/units in the company for the purpose of improving the quality, accuracy, and speed of the services provided.
- Preparing monthly reports for budget meetings, financial reports on assets, and office expenses.
- Responsible for coordinating and monitoring the implementation of general services and administrative services related to the environment, facilities, and the work needs of employees to support the smooth running of employee activities.
- Responsible for the implementation of internal and external security operations within the company's and surrounding areas.
- Coordinating the preparation of internal and external correspondence, including permits and permit extensions, building permits, business permits, generator permits, forklift permits, radio permits, speedboat permits and operators, vehicle registration extensions, and motor vehicle taxes.
- Responsible for creating work order letters for the repair of cars and office equipment, monthly stationery inspections, and requests for office equipment needed by employees.
- Responsible for checking bills to be paid before the Finance & Accounting Dept. creates payment vouchers.
- Responsible for inputting data into the SAP system; repairing office equipment, company vehicles, creating purchase requisitions for stationery and assets up to Good Receipt (GR).
- Responsible for reporting and handling insurance claims for car accidents if any.
- Responsible for maintaining and keeping all work equipment and workplace cleanliness.
- Building good relationships with related departments to assist in solving problems.
- Creating periodic GA reports and/or proposing changes to policies or new policies.
- Coordinating the GA team to achieve their respective KPIs.
- Reporting issues related to Food/Feed Safety Management Systems (if applicable) to the Food/Feed Safety Coordinator.
- Working with the company's values (Integrity, positive behavior, commitment, continuous improvement, innovation, and loyalty).
Job Requirement :
- Candidate must possess in Bachelor Degree in any major.
- At least 5 year(s) of working experience in GA Section Head.
- Willing to be located in Belawan (North Sumatera)
